Project Manager

The Project Management Office (PMO) is a central function we’re building at Karma, reporting to the CEO. The PMO is responsible for the tactical planning and operational coordination and delivery of the Karma’s major change initiatives, which often, but not always, include IT development. The PMO’s mission is to plan and coordinate initiatives, turn them into projects and lead and report on those projects until completed.

The PMO will consist of several Project Managers, Senior Project Managers, and possibly other roles. Project Managers report to the Senior Project Managers and The Senior Project Managers report to the PMO Manager. All positions are based in Stockholm, Sweden.

The PMO are responsible for the following four areas:

  1. Plan
    1. Create, revise and maintain an initiatives master plan for the coming 12 months.
    2. Collect and analyze initiative plans and budgets from internal clients, as well as project briefs and business cases that are potential initiatives
  2. Coordinate
    1. Receive cross-functional requests for initiatives
    2. Assist internal clients in estimation and planning; identifying dependencies and conflicts
    3. Adjust project plans and assist with prioritization
    4. Own and manage the company’s master plan process, project process, and associated document templates
  3. Lead
    1. Lead common projects and secure successful launch and delivery
    2. Lead pre/post project-studies and ad-hoc investigations to determine possible outcome, actual outcome or project viability
  4. Report
    1. Report aggregated status for all projects and initiatives to the company’s Management and key stakeholders
    2. Assist project clients in effect objectives follow-up
    3. Maintain an archive of project documentation

What does a Project Manager do?

  • You take ownership and follow through on deliveries and tasks.
  • You identify and actively drives hypotheses around areas of improvement.
  • You are a direct and clear communicator on all levels, written and verbally.
  • Securing efficient execution of projects, contributing to the fulfillment of the PMO’s responsibilities as described above
  • In projects you own, delivering the Deliverables defined in the Project Brief, within the timeframe and budget decided
  • When necessary, assisting the sponsor and/or project client when starting a new project, writing the Project Brief and other necessary project related documentation
  • Securing that a project budget is produced, maintained, updated and communicated to relevant stakeholders both inside and outside of the project
  • Defining roles and responsibilities for project participants and working actively with resource allocation to ensure the project runs as smoothly as possible
  • Suggesting/deciding on a healthy steering committee composition based on the project’s size, purpose and goals
  • Continuously performing risk analysis and suggesting/implementing actions to eliminate/minimize risks
  • Securing that a healthy level of project documentation is produced, distributed to relevant stakeholders and archived for future reference once the project has ended
  • Continuously informing internal and external stakeholders of the project’s status
  • Spreading knowledge of agile development principles and the Project Process throughout the company, ensuring e.g. that project clients understand their roles and what is expected from them
  • Acting as an ambassador for the PMO and for project management principles throughout the company
  • Making sure that projects inside the company and PMO run smoothly and efficiently
